# Must-Have TMS Integrations for Carriers

### **Integration Depth vs. Integration Count**

Carriers evaluating a Transportation Management System (TMS) often start by counting integrations on a spec sheet. That's the wrong metric. What matters is whether those connections eliminate manual work in the parts of the business that cost carriers the most time and money: dispatch, fuel, factoring, and accounting.

A TMS with forty shallow, read-only connections isn't more useful to your fleet than one with eight that write data both directions. Depth matters more than a long logo wall. When you're comparing platforms, ask what happens on the other side of the connection: does data flow into your system automatically, or does someone on your team still have to open a second screen and retype it? That distinction is what separates [a carrier-focused TMS](https://marketing.magnustech.com/blog/tms-for-carriers-what-to-look-for-in-a-carrier-focused-transportation-management-system) from a general dispatch tool with a few bolted-on API calls. Carriers weighing this tradeoff can review [Magnus's integration directory](https://magnustech.com/integrations/) to see how deep individual connections actually go, category by category.

### **ELD and Fuel Card Integration**

ELD integration pulls hours of service, location, and engine diagnostic data directly into the TMS, so dispatchers can see driver availability and truck status without logging into a separate portal to plan the next load. Done well, it also feeds into route planning: [Magnus's Trimble Maps integration](https://magnustech.com/magnus-technologies-integrates-with-trimble-maps-to-enhance-truckload-platform/) ties mileage and routing data to the same dispatch screen, so mileage pay and ETAs are calculated from the same source instead of two.

Fuel card integration works the same way in reverse. Instead of a back-office employee downloading a transaction file from a major fuel card provider and matching purchases to trucks and loads by hand, the TMS reconciles fuel spend against the right unit and load automatically. That matters for IFTA reporting and for catching a card used at the wrong location before it becomes a bigger problem.

### **Factoring and Cash Flow**

Payment terms create the same kind of margin-visibility problem that fuel volatility does. Shippers using bank-backed payment providers pay carriers in an average of 41.7 days, and carriers paid through non-bank-backed vendors wait an average of 47.3 days (Journal of Commerce Freight Payment Benchmark Study, 2020). Factoring exists to close that gap, advancing cash against invoices for a fee so carriers aren't floating fuel, payroll, and maintenance for six or seven weeks at a time.

Where TMS integration earns its place is in what happens after a load delivers. A TMS that pushes invoice and proof-of-delivery data straight to a factoring partner removes a step that otherwise falls on someone in the office: pulling documents, uploading them to a factor's portal, and tracking which invoices have been submitted, funded, or are still sitting untouched. Without that link, factoring still works, but it runs on whoever remembers to submit paperwork that day.

### **Load Board Connectivity**

Most carriers still source at least some freight from load boards, and the integration question here is about a workflow, not a login. A TMS that connects to a major load board network lets dispatchers search and book loads without leaving the platform, and more importantly, it can pull the rate confirmation details directly into the load record instead of requiring someone to retype rate, weight, and commodity information from a PDF.

That second part is the one carriers underrate. Booking the load is the easy half. Getting its details into your system cleanly is where hours disappear every week.

### **Accounting Integration Without Double Entry**

Accounting integration is where a lot of the administrative burden in a trucking back office actually lives, and it's often the least visible during a sales demo. Accounts payable staff across industries spend nearly a quarter of their working day on manual, repetitive tasks like typing invoice data and fixing errors from that entry (PYMNTS Intelligence, 2022). In a carrier's office, that shows up as someone keying settlements, fuel purchases, and customer invoices into QuickBooks or a similar system after they've already been entered once in the TMS.

Quote-to-cash should move through one system, not two. When a TMS posts revenue, driver settlements, and expenses to the general ledger (GL) automatically, that second round of data entry disappears, along with the reconciliation errors that come with it. [Magnus's accounting integrations](https://magnustech.com/magnus-technologies-adds-new-accounting-software-integrations/) are built around that principle, aiming for a direct feed into your accounting system rather than a report that merely resembles one.

### **Frequently Asked Questions**

**Which integrations matter most for a carrier evaluating a TMS?** ELD, fuel card, factoring, and accounting integrations matter most, because they touch the highest-volume, highest-error parts of a carrier's daily operation. Load board connectivity matters too, but it affects how freight gets booked, not how the back office closes the books. Prioritize depth in these four areas over a long list of shallow, rarely-used connections.

**How does ELD integration actually work with a TMS?** The TMS pulls hours-of-service, location, and engine data directly from the ELD provider's system through an API connection, updating driver and truck status in near real time. Dispatchers then plan loads against actual available hours instead of estimates, and that same data can feed routing and mileage calculations without re-entry.

**Can a TMS integrate with QuickBooks or similar accounting systems?** Yes. A TMS built for carriers can post invoices, driver settlements, and expense data directly to QuickBooks or a comparable accounting system, keeping the general ledger current without manual re-entry. The details of what posts and how often vary by platform, so it's worth confirming the specific accounting integrations supported before switching systems.

**What happens to existing integrations during a TMS migration?** Most integrations, including ELD, fuel card, and accounting connections, get reconfigured and reconnected as part of the migration rather than rebuilt from scratch. A carrier should expect a short overlap period where data is verified against the old system before fully cutting over, and a good implementation team will map out which integrations move first based on what the back office depends on daily.
